AI for Healthcare Teams: Practical, With Guardrails
Healthcare leaders leave with safe, practical AI uses for recruiting, scheduling, SOPs and communication.
Chris Sund is an AI speaker for hospitals, senior care organizations, healthcare staffing firms and healthcare associations. He is President & COO of Uniti Med and GQR Healthcare and COO of Nebula, an AI talent sourcing platform, so he uses these tools on healthcare workforce problems every week. His session shows the administrative work AI can take off a healthcare team, and the guardrails that come first: no patient data in public AI tools, and your organization’s policies always win.

Why are healthcare conferences booking AI sessions right now?
Healthcare leaders are short on people and long on paperwork. Recruiters are slow to answer applicants because they are buried, schedulers rewrite the same shift-change message ten times, and policies sit half-written for months. Most teams have heard AI could help. Few have been shown how to use it safely on the administrative side of the work.
This session stays on that side. It does not touch diagnosis, treatment or clinical judgment. It shows the hours AI can give back to recruiters, HR, schedulers, managers and administrators, and the rules that protect patients and the organization while doing it.
Recruiting response time
Candidates take the first good offer. AI helps a recruiter answer the same day with the right questions, so applicants do not drift to the next employer.
Scheduling communication
Shift changes, open shifts and policy updates turned into clear, consistent messages in seconds, reviewed before they go out.
Policy and SOP drafts
Experienced staff talk through a process. AI produces the first draft. Your policy owners and clinical leaders review and approve it.
Guardrails first
No patient information in public tools, approved tools only, and a person checks every output. The session teaches the rules before the prompts.
Where Chris has talked about AI in healthcare
Chris has not yet delivered Take Back Your Time with AI at a healthcare conference. He has spent the past decade in healthcare staffing, and he talks about AI in the healthcare workforce often, because it is part of his job.
NATHO Roundtable
Candidate sourcing, lead generation and AI for travel healthcare staffing firms, hosted by NATHO. Chris is Vice President of the NATHO Board of Directors.

COO of Nebula
Nebula is an AI talent sourcing platform. Chris runs it alongside two healthcare staffing companies, so his examples come from live hiring, not a demo.
Six places AI gives healthcare teams time back
The workshop is built on six areas. Here they are for hospitals, senior care and healthcare staffing, all on the administrative side. Each card links to a full guide with the prompt.
Find Growth
Find the signal first.
A staffing firm finds facilities announcing expansions or new service lines. A senior care community finds referral partners and community events. AI searches public sources and lists one next step for each.
Read the guide→02Respond Faster
Answer candidates the same day.
Paste in an applicant’s message or a facility’s staffing request. AI lists what is missing, drafts a clear reply with the right questions, and the recruiter confirms pay, dates and licensure before it goes out.
Read the guide→03Strengthen Your Website
Pass the 10-second careers test.
Can a nurse, aide or family member tell who you are, what you offer and what to do next? AI reviews your careers page or general patient-information pages like a visitor and ranks the five fixes that matter most.
Read the guide→04Create Communications
Clearer patient and staff messages.
One approved set of facts becomes a recruiting post, an employee spotlight (with permission), or general patient-experience communication such as visiting, parking or what-to-expect information. No individual patient information, ever.
Read the guide→05Organize Operations
Meeting notes and schedule changes.
Leadership and huddle notes become an action list with owners and dates. A schedule change becomes a consistent staff message. Missing details are marked, not guessed.
Read the guide→06Build Policies & SOPs
Capture what your experienced staff know.
An experienced coordinator talks through onboarding, credentialing paperwork or a front-desk process. AI drafts the SOP, marks anything unclear, and it goes through your normal policy review.
Read the guide→Tell AI Five Things
Every prompt in the session follows the same five-part structure, so attendees can write their own after they leave. Here it is with healthcare recruiting examples. The full framework is on Tell AI Five Things: The Five-Part Prompt.
Role
Who is it?“Act as a healthcare recruiter.”
Task
What should it do?“Reply to this applicant.”
Details
What should it know?“Use the approved job details.”
Format
What should it make?“A short, friendly email.”
Guardrails
What must it avoid?“Do not promise pay or dates.”
Role+Task+Details+Format+Guardrails
If the first result is weak, add the detail you left out.
Example prompt: answer an applicant the same day
An example built on Tell AI Five Things for a hospital, senior care or staffing recruiter. It uses only the applicant’s own message and approved job details. No patient information goes in.
The human review step. The recruiter checks every detail against the approved job information, confirms nothing was promised that the organization has not approved, and sends it. AI drafts. Your recruiter and your policies decide.
More prompts, grouped by the six areas, are in the free AI Prompt Library for Business Owners.
Keynote, half day or full day
Every format is delivered in person and built around healthcare administrative work: recruiting replies, scheduling communication, policy and SOP drafts, patient-experience communication and meeting notes. Sessions can run for leadership teams, HR and recruiting, or association members.
The six areas in one session
The framework, live healthcare examples from all six areas, and the Monday Morning close. Works as a general session or a breakout.
Hands-on with your own work
Attendees bring the tasks that eat their week and build their own prompts with the five-part framework, then test them on real healthcare examples.
Teams build their own workflows
A hands-on workshop where teams build and test their own workflows across the six areas and leave with a written plan for who uses what, starting Monday.
Tailored to your setting
Before the event, Chris rewrites the examples for your setting, whether that is a hospital, a senior care community or a staffing firm, and builds the guardrails around your organization’s policies on AI and patient privacy.
The field guide
Attendees get the field guide with every prompt, the worksheets and a simple Monday plan. Chris sends it to the host as a PDF after the event to share with everyone who attended.
Tool-neutral
Every prompt runs in ChatGPT or Claude. No software to buy, no IT project, nothing to install.
Built for healthcare leaders and the teams behind the care
The session works for administrators, HR and recruiting teams, schedulers, department managers and staffing firm leaders.

What Healthcare Planners Ask
Do attendees need AI experience?
No. The session starts with a five-part prompt, Tell AI Five Things, and builds from there, so people who have never opened ChatGPT can follow along. People who already use AI leave with better prompts, clear guardrails and a way to check the results.
Which AI tools does the session use?
ChatGPT and Claude. Every prompt runs in either one, and Chris shows the work in both. Nobody is asked to buy new software or install anything.
Is our data safe?
Healthcare gets the strictest guardrails in the session. Never put patient information or protected health information into a public AI tool. Follow your organization’s AI, privacy and compliance policies, and use only the tools your organization has approved. Every example in the session uses made-up, de-identified or public information, prompts tell AI not to invent facts, and a person reviews every output. Clinical decisions and clinical content stay with clinicians and your policy process.
Can it be tailored to healthcare?
Yes. The examples are rewritten for hospitals, senior care or staffing before the event, and the guardrails are built around your organization’s AI and privacy policies. The session stays on administrative work: recruiting, scheduling communication, policies and SOPs, patient-experience communication and meeting notes.
Do you sell software?
No. Chris is COO of Nebula, an AI talent sourcing platform, which is part of why he uses these tools every day, but the workshop is tool-neutral and is not a pitch for Nebula or any other product.
Keynote or workshop: which should we book?
A keynote fits a general session or breakout: the framework, live examples from all six areas and the Monday Morning close. A half-day or full-day workshop is hands-on: teams bring their own tasks and build and test their own workflows before they leave. Many groups pair a keynote for the full room with a workshop for a leadership or member group.
